Privacy Policy

Yoisho Planner holds records about children. We treat that as the whole point of this policy rather than a footnote. The short version: your household’s information is used to run the service for you and nothing else. We do not sell it, we do not advertise against it, and we do not use it to train machine-learning models.
1. What we collect
Account information. Your name and email address, provided when you sign up through Clerk, plus sign-in timestamps and a login count. If you set a teacher name or school name, we store that too.
Student information you enter. This is the heart of the app and it is entirely up to you what you put in it. It can include each student’s name and nickname, date of birth, expected graduation year, a photo, subjects and curriculum, schedules and lesson progress, attendance and days off, daily notes, assessment scores and grades, transcript entries, and reading logs.
Billing information. If you subscribe, Stripe collects and stores your payment details. We receive and store only a Stripe customer identifier, your subscription status, and the current period end date. We never see your full card number.
Usage information. We record page views and certain feature events inside the app so we can see which parts are actually used and where people get stuck. We also keep a log of visits to our public marketing pages. For each visit we record the page visited, the time, the name of the site you arrived from (its address only — never the full link you clicked), any campaign tag in a link you followed, your browser and operating system, your browser’s language, and an approximate location — typically the city and country your internet connection appears to be in.
That location is worked out from your IP address by our hosting provider before the request reaches us. It is an estimate, and often a poor one: a VPN, a mobile network or an employer’s network can place a visit hundreds of miles from where anyone actually is. We do not store your IP address itself. We convert it, together with your browser’s description of itself, into a short code using a one-way calculation and a secret key, and store only that code. It lets us tell a returning visitor from a new one without keeping the address, and it cannot be reversed to recover the address.
If you are signed in when you visit our marketing pages, those visits are recorded against your account. This happens because a single sign-in covers both our marketing site and the app. If you are not signed in, we have no way to connect a visit to you by name.
Our host keeps a second, separate and anonymous count of the same pages. If error monitoring is enabled, technical error reports may include the page and a stack trace.
Support messages. If you file a help ticket, we keep what you wrote so we can answer it.
Technical information. Our host keeps standard server logs, and we use your IP address briefly to count requests and block abuse — for example, to limit how many accounts can be created from one connection. These counters expire on their own within minutes to an hour and are not linked to your planner data. Beyond those short-lived counters and the one-way code described above, your IP address is not written to our database.
2. What we do not do
- We do not sell or rent personal information to anyone.
- We do not use student information for advertising or marketing profiling.
- We do not use your content to train machine-learning models.
- We do not share student information with third parties except the service providers listed below, and only so they can run the service.
- We do not run advertising trackers, and we do not use analytics that follow you to other websites.
3. Why we hold it
To operate the service you asked for: generating schedules, tracking progress, producing transcripts and printable records, and keeping your household’s data separate from every other household’s. To bill you if you subscribe. To answer your support requests. To keep the service working — fixing errors, preventing abuse. And to send you the service emails described in section 6.
4. About children’s information
Yoisho Planner is designed for a parent or guardian to use. Accounts belong to adults, and information about a child is entered by the adult responsible for that child’s education. We do not knowingly allow children to create accounts, and we do not collect information directly from children.
A student may use the app on a shared household account — for example, to check off their own lessons — under the account holder’s supervision. As the account holder, you control what is entered, and you can view, correct, or delete any of it at any time.
5. Who processes data for us
We use a small number of established service providers. Each one only receives what it needs to do its job:
- Clerk — authentication. Holds your name, email, and login sessions.
- Supabase — the PostgreSQL database and file storage where your planner data and any student photos live.
- Vercel — hosting. Processes web requests, keeps standard server logs, works out the approximate location described in section 1 from your IP address, and provides a second, separate anonymous count of our public marketing pages.
- Stripe — payment processing and subscription billing, if you subscribe.
- Resend — sending the service emails in section 6. Receives your email address and the message.
- Sentry — error monitoring, when enabled. May receive technical error details.
- Upstash — rate limiting. Receives your IP address or account identifier as a short-lived counter, to block abuse.
These providers process data in the United States. We do not add providers casually; if that list changes materially, we will update this page.
6. Email we send
We send service email only — not marketing. That means: a welcome message when you create an account, a reminder before a free trial ends, a notice if a payment fails, a confirmation if a subscription is cancelled, and replies to support requests we may need to send about your account or a security issue.
7. Cookies
We use cookies that are necessary for the service to work — principally the session cookie set by Clerk that keeps you signed in, which is scoped so a single sign-in works across our marketing site and the app. One consequence of that shared scope is described in section 1: while you are signed in, visits you make to our marketing pages are recorded against your account. We do not use advertising or cross-site tracking cookies, and we set no cookie and use no browser storage for the purpose of recording visits.
8. How long we keep it
We keep your account and planner data for as long as your account exists. Homeschool records have a long useful life — a transcript may matter years later — so we do not expire old school years automatically.
If you delete your account, we delete your account data and your students’ records from our active systems. Encrypted backups may retain copies for up to 30 days before they age out, after which those copies are deleted automatically. We may keep minimal billing and tax records where the law requires it.
We also keep a record that you accepted these documents — which versions, and when. If you delete your account we remove the link to your name and email from that record but keep the versions and the date, so a later question about what was agreed can still be answered. It holds no planner data and nothing about your students.
Our log of visits to the public marketing pages — including the approximate location, the one-way visitor code and any account it was linked to — is deleted after 180 days, and our records of the automated traffic we filter out of it after 21 days. In-app page views are deleted after 90 days and in-app feature events after 400 days.
9. Your choices
- See and correct. Everything about your household is visible and editable inside the app.
- Export. You can export a student’s transcript, year-end summary, and reading log as PDFs at any time. If you want a full copy of your raw data, email us and we will produce one.
- Delete. You can delete individual students, years, or subjects yourself. To delete your whole account and everything in it, email us and we will do it.
- Billing. Manage or cancel your subscription from the billing page, which opens the Stripe portal.
Depending on where you live, you may have additional rights — to access, correct, delete, or receive a portable copy of your information, and to be free from discrimination for exercising them. We honor these requests regardless of where you live. Email us and we will respond.
10. Security
Data is encrypted in transit and at rest by our hosting and database providers. Access is separated by account: the application enforces that a household can only read and write its own records. Payment details never touch our servers. Because homeschool records matter for years, we also keep a nightly encrypted backup with a second, independent provider, and we test restoring from it. No system is perfectly secure, so please use a strong, unique password and keep your own PDF copies of records that matter.
11. Changes to this policy
If we change this policy materially, we will update the date at the top and notify account holders by email or in the app.
